CEO’s Executive Personal Assistant

ERM Brazil is looking for a motivated CEO's Executive/Personal Assistant, to provide personalized support in a well-organized and timely manner. You will work directly with the CEO/Managing Director on a variety of tasks related to executive's working life and communication in São Paulo.

This position requires a high energy, very bright and articulate person who can multitask, take initiative and be a self-starter. Must be able to work under pressure at times and to handle a wide variety of activities and confidential matters with discretion.


  • Act as the point of contact between the executives internal and external contacts. Act as a polished gatekeeper for the CEO's time and office.

  • Have an excellent sense for the issues taking place in the environment and keeping the CEO updated. This will include drafting emails, letters, personal correspondence, and other tasks that facilitate the CEO's agenda

  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

  • Undertake the tasks of receiving calls, take messages and routing correspondence, and manage appointments. Provides leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the CEO, some of which may have organizational impact. Successfully complete critical aspects of deliverables with a hands-on approach.

  • Handle requests and queries appropriately including and timely: expense report preparation & tracking and submission, travel planning, calendaring, in office guest coordination and support.

  • Maintain calendar, arrange meetings and appointments and provide reminders.

  • Make travel arrangements for CEO and others as required including board members with travel arrangements, lodging, and meal planning as needed. Maintaining discretion and confidentiality in all situations is a must.

  • Develop and carry out an efficient documentation and filing system, bill paying, errands, lunch, health insurance reimbursements, travel, wiring of funds, mail sort and file. This position will work a few hours a week from CEO's home office.

  • Support Marketing area, like events planning and organization (seminars, clients meetings); social media channels and clients portals monitoring and posting, and also Communication activities.


  • Social Sciences /Marketing /Administration/ Communication or similar Degree

  • Minimum of 3-5 years of similar experience. Proven experience as an executive/personal administrative assistant, senior executive assistant

  • Experience in Marketing and Communication areas is a plus.

  • Full comprehension of office management systems and procedures

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment

  • Proficient in Microsoft Office (Outlook, Word, Excel, and Powerpoint), Adobe Acrobat, and Social Media web platforms.

  • Exemplary planning and time management skills

  • High level verbal and written communications skills(English and Portuguese, Spanish is a plus)

  • Highly resourceful team-player, with the ability to also be extremely effective independently.

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
